Privacy First: ClientVault Pro is designed with your privacy as a top priority. All your data is stored locally on your device by default. We do not collect, store, or transmit your personal information to any servers operated by VaneSpark.
1. Information We Collect
1.1 Data You Provide
ClientVault Pro is a local-first application. All data you enter is stored directly on your device:
- Client Information: Names, phone numbers, email addresses, physical addresses, tags, status, and birthday information
- Notes: Any notes you create and associate with clients
- Files: Documents, images, PDFs, videos, and other files you attach to client records
- Messages: WhatsApp chat imports and SMS/MMS messages you choose to import
- Work Items: Work tracking data including titles, descriptions, dates, and fiat amounts
- Business Information: Your business name, email, phone, address (used for invoice generation)
1.2 Automatically Collected Information
We do not collect analytics, crash reports, or usage data. The app operates entirely offline and does not send any telemetry to our servers.
2. How We Use Your Information
All data processing occurs locally on your device. Your information is used solely to:
- Display and manage your client relationships
- Generate invoices and receipts
- Create local backups of your data
- Sync data to your personal Google Drive account (if you enable this feature)
- Send birthday notifications (if you enable this feature)
3. Data Storage
3.1 Local Storage
All your data is stored locally on your device in an encrypted SQLite database. Files are stored in your device's private app storage directory, inaccessible to other applications.
3.2 Backups
You can create backups of your data:
- Local Backups: Stored on your device or in locations you choose (Downloads, external storage, etc.)
- Google Drive Backups: If you enable Google Drive sync, encrypted backups are stored in your personal Google Drive account
Backup files can be optionally encrypted with a password you provide. We do not have access to your backup files or encryption passwords.
4. Third-Party Services
4.1 Google Drive Integration (Optional)
If you choose to enable Google Drive backup and sync:
- You must sign in with your Google account
- The app will upload encrypted backups to your personal Google Drive
- The app will sync client files to your Google Drive (if auto-sync is enabled)
- Google's Privacy Policy applies to data stored in your Google Drive: https://policies.google.com/privacy
- We do not have access to your Google account or the data stored in your Drive
4.2 Google ML Kit (Document Scanning)
If you use the document scanning feature:
4.3 Android System Services
The app uses standard Android system services:
- Contacts: To enable contact sharing (if you enable this feature)
- SMS: To import SMS/MMS messages (if you enable this feature)
- Camera: For document scanning (if you enable this feature)
- Biometric Authentication: For app security (if you enable this feature)
- Notifications: For birthday reminders (if you enable this feature)
These permissions are only requested when you use the respective features and are not used for any other purpose.
5. Data Sharing
We do not share your data with third parties.
- We do not sell your data
- We do not share your data with advertisers
- We do not send your data to our servers
- The only data transmission occurs when you explicitly enable Google Drive sync, and this data goes directly to your personal Google Drive account
6. Data Security
We implement multiple layers of security:
- Local Encryption: Database stored in your device's secure app storage
- Backup Encryption: Optional password-based encryption using PBKDF2 + AES-256-GCM
- Biometric Lock: Optional biometric authentication to access the app
- File Isolation: All files stored in app-private directories inaccessible to other apps
- No Network Access: App operates entirely offline unless you enable Google Drive sync
7. Your Rights and Choices
You have complete control over your data:
- Access: View all your data within the app at any time
- Export: Create backups and export your data at any time
- Delete: Delete individual records or all data from the app
- Google Drive: Enable or disable Google Drive sync at any time
- Permissions: Revoke app permissions through Android settings at any time
8. Children's Privacy
ClientVault Pro is not directed to children under 13. We do not knowingly collect information from children under 13. The app is designed for business and professional use.
9. Data Retention
Your data is retained on your device until you:
- Delete individual records within the app
- Uninstall the app (removes all local data)
- Manually delete backup files you've created
- Remove data from your Google Drive (if you enabled Google Drive sync)
10. International Users
ClientVault Pro operates entirely on your device. Since we do not collect or transmit your data to our servers, there are no international data transfer concerns. If you use Google Drive sync, your data is subject to Google's data processing and storage practices.
11. Changes to This Privacy Policy
We may update this privacy policy from time to time. Changes will be posted on this page with an updated "Last Updated" date. We encourage you to review this policy periodically. Continued use of the app after changes constitutes acceptance of the updated policy.
